I am concerned about the time delay between paying for the course I wish to attend and being reimbursed?

From 2 December 2024, there will be a change to the study leave expense reimbursement process for the course fee for mandatory courses. From this date, you can apply for reimbursement of your mandatory course fee as soon as you have paid for your course, rather than waiting until after you have attended. This applies to all mandatory course booked from 1 October 2024 onwards.


Reimbursement will be made by your employing Trust based on actual spend against a receipt/proof of payment. Funds should then reach you within the next possible payroll payment.


Mandatory courses are those marked in green on the approved course lists.


Please note that this policy does not apply to study leave expenses for optional and discretionary courses, nor to any travel/accommodation/subsistence expenses associated with attendance at a mandatory course. Trust PGME teams will continue to follow the current process for these expenses, whereby reimbursement is made after the event has been attended.


Please bear in mind that all study leave expenses will be reimbursed in your Trust monthly pay and will therefore align with payroll.
