What this article is about
This article explains what Trusts, employers and rota teams need to know about LTFT arrangements.
Who this is for
Trust medical staffing teams, rota coordinators, HR teams, payroll teams, programme teams and employer contacts supporting LTFT trainees.
What you need to know
- HET confirms approved LTFT arrangements through the agreed reporting or portal route.
- Employers use this information to support work schedules, rota design, contracts, payroll and local induction.
- LTFT approval confirms the trainee’s approved WTE and effective date.
- Non-working days and detailed rota patterns are managed locally by the employer, subject to training and service requirements.
- Daytime, on-call and out-of-hours duties are normally undertaken pro rata to the trainee’s WTE, unless an exception is required and legal and educational requirements are met.
- Slot shares may be used where appropriate, but vacant posts should be considered where possible to avoid unnecessary costs.
- Trainees usually work between 50% and 80% WTE in slot share arrangements.
- Unequal slot shares are allowed, but two trainees each working 80% in the same slot should be avoided where possible because of on-call and service issues.
- Employer queries about pay, contract and rota implications should be handled locally.
What to do
For Trusts and employers:
- Check the relevant portal or report for the trainee’s approved LTFT WTE and effective date.
- Confirm local work schedule and rota arrangements with the trainee.
- Consider educational requirements and service needs when planning duties.
- Raise a query if the LTFT information is missing, unclear or inconsistent with the placement record.
- Keep access to portal information limited to those with a legitimate need.
- Contact HET if the approved WTE or placement information appears incorrect.
If this does not work
If the portal information appears wrong, raise a data query and include the trainee name, specialty, placement, start date, approved WTE and the issue identified.
Who to contact
Use the PGMDE Support Portal for HET-held LTFT approval or placement data queries. Employers should use local HR, rota and payroll routes for contract, pay and work schedule queries.
