LTFT placement and rota queries: Who does what

Modified on Thu, 24 Sep at 10:21 AM

What this article is about
This article explains who is responsible for LTFT placement, rota and training queries.

Who this is for
Doctors and dentists in training who are LTFT, Trust rota teams, employers and programme teams.

What you need to know

  • HET manages the LTFT application process and records approved LTFT arrangements in training systems.
  • Training Programme Directors and programme teams consider educational suitability, placement planning and training requirements.
  • Employers and Trust rota teams manage local rota design, work schedules, non-working days, pay, contracts, leave and HR matters.
  • LTFT approval confirms the approved WTE, but it does not automatically confirm specific non-working days.
  • Daytime, on-call and out-of-hours duties are normally undertaken on a pro-rata basis, unless the reason for LTFT makes this impossible and legal and educational requirements are met.
  • LTFT trainees are normally expected to move between posts within rotations on the same basis as full-time trainees, so that training remains educationally comparable.
  • Trusts are notified of approved LTFT arrangements through the agreed reporting or portal route.

What to do

  1. Check your LTFT approval letter or outcome communication.
  2. Confirm the approved WTE and start date.
  3. Contact your employer or rota team about non-working days, work schedule and rota pattern.
  4. Contact your Training Programme Director if the rota or placement may affect training requirements.
  5. Raise a query through the PGMDE Support Portal if the approved LTFT percentage or placement record appears wrong.
  6. Keep copies of any agreed changes.

If this does not work
If your rota does not reflect your approved LTFT WTE, contact your employer first. If the employer has not received the approved WTE or the training record appears incorrect, raise this through the PGMDE Support Portal.

Who to contact
Use the PGMDE Support Portal for LTFT approval, placement and training record queries. Contact your employer for rota, work schedule, contract, pay, leave and HR matters. Contact your Training Programme Director for training suitability issues.

What HET can and cannot help with
HET can help with

  • Confirming approved LTFT WTE where recorded.
  • Updating HET-held training records after approval.
  • Directing queries to programme or employer routes where needed.
  • Checking whether the Trust has been notified through the correct route.

HET cannot help with

  • Agreeing non-working days.
  • Designing or changing local rotas.
  • Resolving payroll or contract issues.
  • Replacing employer HR or occupational health processes.
