What this article is about
This article explains who to contact if you have a problem with a rotation, placement, portal record or employer information.

Who this is for
Doctors and dentists in training, Trust users, programme teams and other stakeholders involved in rotations or placements.

What you need to know

  • The correct contact depends on the type of problem.
  • HET can usually help with training records, placement records, rotation data and routing queries.
  • Training Programme Directors and programme teams are responsible for training needs and placement planning decisions.
  • Employers are responsible for contracts, pay, rota, HR, onboarding and local induction.
  • Technical portal problems may need an IT or service desk route.
  • Data problems should include enough detail for the record to be checked.

What to do
When raising a query, include your full name, professional registration number if applicable, specialty or programme, training level, current placement, expected or affected placement, rotation start date, what appears wrong or missing, any relevant approval such as LTFT, OOP, IDT or special circumstances, and screenshots where helpful and safe to include.

If this does not work
If your query is sent to the wrong team, it may be redirected. If you have a query reference, include it when following up.

Who to contact
Use the PGMDE Support Portal for HET rotation, placement and data queries. Contact your Training Programme Director or programme team for placement planning and training needs discussions. Contact your employer for contract, rota, pay, HR and onboarding queries.

What HET can and cannot help with
HET can help with

  • Checking HET-held trainee, placement and post records.
  • Directing queries to the correct specialty, rotation, post management or data team.
  • Supporting corrections where HET owns or can update the data.
  • Advising whether a formal placement change process may be needed.

HET cannot help with

  • Making employer rota, contract, pay or HR decisions.
  • Guaranteeing a preferred placement or site.
  • Changing placement decisions without the required programme or senior approval.
  • Providing technical access support for systems owned by another organisation.
