ARCP evidence checklist: What you must submit and when

Modified on Thu, 17 Sep at 2:38 PM

What this article is about
This article provides a general checklist for preparing ARCP evidence.

Who this is for
Resident doctors and dentists in training preparing for ARCP or equivalent progression review.

What you need to know

  • ARCP evidence requirements vary by specialty, curriculum and training level.
  • Your school or specialty may issue a decision aid or evidence guide.
  • Evidence must usually be submitted by the deadline stated in your ARCP communication.
  • Missing or incomplete evidence may result in an Outcome 5 which can affect your ability to progress to the next year of training or pay progression.
  • Evidence should be organised clearly in your portfolio.
  • Your educational supervisor report is a key part of the review.
  • You should raise problems with missing evidence as early as possible.

What to do
Use your specialty guidance as the main source. As a general checklist, make sure you have:

  • Completed a Form R or required self-declaration documentation
  • An up-to-date educational supervisor report
  • Evidence mapped to curriculum requirements
  • Workplace-based assessments or equivalent evidence, where required
  • Multi-source feedback, where required by your programme
  • Logbook, case numbers or procedural evidence, where required
  • Teaching, audit, quality improvement or research evidence, where relevant to your curriculum
  • Exam evidence or confirmation where required
  • Evidence of mandatory training or required courses, where applicable
  • Reflections, learning plans or personal development plans where required
  • Evidence relating to any OOP, LTFT, absence or return to training arrangements, where relevant.

If this does not work
If you cannot provide required evidence by the deadline, tell your programme team as soon as possible. The ARCP panel can only assess the evidence available to it.

Who to contact
Use the PGMDE Support Portal for ARCP administration queries. Contact your Training Programme Director, educational supervisor or specialty team for evidence and curriculum queries.

What HET can and cannot help with
HET can help with

  • Confirming ARCP deadlines and submission routes.
  • Directing you to relevant specialty guidance where available.
  • Checking whether required administrative documents have been received.
  • Advising what to do if evidence is missing close to the deadline.

HET cannot help with

  • Confirming in advance that your portfolio will receive a specific outcome.
  • Completing or uploading evidence for you.
  • Replacing specialty curriculum guidance.
  • Changing an outcome because evidence was submitted late unless the approved process allows it.
