What this article is about
This article explains how to request copies of key training documents before leaving a training programme.

Who this is for
Doctors and dentists in training who are resigning, completing training, leaving at the end of a fixed-term programme or moving out of the region.

What you need to know

  • You should download or request copies of key documents before your access to training systems changes.
  • Documents may include ARCP outcomes, training records, forms, approval letters or other training-related documents.
  • Some documents may be held in your portfolio, some by HET and some by your employer.
  • HET can only provide documents it holds and is permitted to release.
  • Employment references, contracts, payslips and HR documents should be requested from your employer.

What to do

  1. Make a list of the documents you need.
  2. Download documents you can access directly from your portfolio or TIS Self-Service.
  3. Raise a query through the PGMDE Support Portal for documents held by HET.
  4. Include your full name, professional registration number, specialty, training dates and the documents requested.
  5. Allow time for the request to be reviewed and processed.
  6. Contact your employer separately for employment records, references, contracts, payslips or HR documents.
  7. Store copies securely.

If this does not work
If HET does not hold the document, you may be redirected to your employer, portfolio provider, college, faculty or another relevant organisation.

Who to contact
Use the PGMDE Support Portal for HET-held training documents. Contact your employer for employment, payroll, contract and HR records.

What HET can and cannot help with
HET can help with

  • Checking whether HET holds a training document.
  • Providing copies where release is appropriate.
  • Directing you to another organisation if the document is not held by HET.

HET cannot help with

  • Providing documents HET does not hold.
  • Issuing employment references or payroll documents.
  • Providing documents where release is not permitted.
  • Restoring access to external systems that HET does not manage.
