What this article is about
This article explains what to do if your personal details appear incorrectly on a training or recruitment portal.
Who this is for
Doctors and dentists in training, applicants or new starters who can see incorrect personal details on a portal.
What you need to know
- Incorrect details can affect communications, training records, placement information, ARCP and revalidation.
- Some details can be updated directly by you in the portal.
- Other details may need to be corrected by HET or another system owner.
- Some information may come from another source system and may need to be corrected at source.
- Name changes may require supporting evidence.
What to do
- Check exactly which detail is wrong and where it appears.
- Try to update the detail yourself if the portal allows this.
- If you cannot correct it, raise a query through the PGMDE Support Portal.
- Include your full name, professional registration number, specialty, current placement and the incorrect information.
- Explain what the correct information should be.
- Attach evidence if the correction relates to a name change or another detail that needs verification.
- Check the portal again after the correction has been confirmed.
If this does not work
If the portal still shows incorrect information after the correction has been made, raise a follow-up query and include screenshots or a clear description of where the incorrect information is still showing.
Who to contact
Use the PGMDE Support Portal for training record or portal data queries. Contact your employer if the incorrect information relates to employment, payroll or contract records.
What HET can and cannot help with
HET can help with
- Checking training records held by HET.
- Correcting data where HET owns or can update the record.
- Advising if the correction needs to be made by another organisation or system owner.
HET cannot help with
- Updating employer HR or payroll systems.
- Updating external professional registration records.
- Correcting information without enough detail or evidence where evidence is required.
