How to update or renew a special circumstances or adjustment request

Modified on Tue, 8 Sep at 12:00 PM

What this article is about
This article explains when and how to update, renew or close a special circumstances or reasonable adjustment request.

Who this is for
Doctors and dentists in training whose circumstances or adjustment needs have changed.

What you need to know

  • You should update HET or the relevant team if your circumstances change.
  • Some approvals or adjustment arrangements may apply only for a defined period.
  • Evidence may need to be updated if the request is being renewed.
  • Placement, programme, employer or rota changes may mean an adjustment or special circumstances request needs review.
  • You should not assume that a previous approval automatically applies to a new placement, programme or process.
  • You should tell the relevant team if the support is no longer needed.

What to do

  1. Check whether your current approval or adjustment has an end date or review date.
  2. Gather updated evidence if this is needed.
  3. Raise a query through the PGMDE Support Portal or the relevant adjustment route.
  4. Explain what has changed and what support or consideration is now needed.
  5. Include any relevant dates, placement changes or training stage changes.
  6. Wait for confirmation before assuming the previous arrangement has been extended.
  7. Tell the relevant team if the arrangement should be closed.

If this does not work
If you are unsure whether an existing arrangement is still active, ask for it to be checked before your next rotation, recruitment stage or relevant training process.

Who to contact
Use the PGMDE Support Portal for training-related special circumstances or adjustment queries. Contact your employer for workplace adjustment changes.

What HET can and cannot help with
HET can help with

  • Reviewing existing training-related special circumstances or adjustment records.
  • Confirming whether further information is needed.
  • Updating relevant training records where appropriate.
  • Advising if another process should be used.

HET cannot help with

  • Automatically extending arrangements without review where review is required.
  • Updating employer workplace adjustment records.
  • Guaranteeing that previous arrangements can apply unchanged to a new placement.
  • Providing occupational health, legal, financial or immigration advice.
