Changing or cancelling your event or training day booking

Modified on Tue, 8 Sep at 10:34 AM

What this article is about
This article explains what to do if you need to change or cancel your event booking.

Who this is for
Doctors and dentists in training, educators, speakers or other attendees who have booked onto an event but can no longer attend or need to update their details.

What you need to know

  • You should cancel your place as early as possible if you can no longer attend.
  • Some events have limited capacity, so cancelling early may allow another attendee to take your place.
  • You may not be able to change your booking after the booking deadline.
  • A booking cancellation does not automatically update study leave or rota arrangements.
  • If the event is mandatory or expected for your programme, you should discuss non-attendance with your Training Programme Director, educational supervisor or employer as appropriate.

What to do

  1. Check your booking confirmation for cancellation or amendment instructions.
  2. Cancel or amend your booking using the route provided, if available.
  3. If there is no cancellation route, raise a query through the PGMDE Support Portal.
  4. Include the event title, event date and your booking details.
  5. Inform your employer or rota coordinator if you had arranged study leave or release from clinical duties.
  6. Speak to your Training Programme Director or programme team if the event is required for your training.

If this does not work
If the booking cannot be amended, HET may ask you to cancel and rebook, or may refer the query to the event organiser.

Who to contact
Use the PGMDE Support Portal for booking changes or cancellations.

What HET can and cannot help with
HET can help with

  • Cancelling or amending bookings where HET administers the event.
  • Updating attendance records where appropriate.
  • Directing you to the event organiser where the booking is not managed by HET.

HET cannot help with

  • Approving absence from a mandatory training event.
  • Updating employer rota systems.
  • Approving study leave.
  • Guaranteeing alternative dates or places.
