What this article is about
This article explains who is usually involved in approving OOP and acting up requests and why timelines matter.

Who this is for
Doctors and dentists in training applying for OOP or acting up, and Trust or programme colleagues supporting applications.

What you need to know

  • OOP and acting up requests require formal approval before they start.
  • OOP must be agreed by the Postgraduate Dean or nominated deputy.
  • Acting up requests may require programme, Trust, Training Programme Director and Postgraduate Dean approval, depending on the circumstances.
  • Training Programme Director and Head of School support may be required.
  • College, Faculty or GMC approval may be required where the time is intended to count towards training.
  • OOP applications should normally be submitted at least six months before the proposed start date.
  • Acting up applications should be submitted early enough for all checks and approvals to be completed before the start date.
  • Applications may be reviewed during local OOP windows or panels.
  • Late, incomplete or unsupported applications may be delayed or not approved.

What to do

  1. Check the relevant application window or deadline.
  2. Discuss the proposal with your Training Programme Director.
  3. Gather supporting documents before applying.
  4. Submit the application through the correct route.
  5. Respond promptly to requests for further information.
  6. Do not start OOP or acting up until written approval is confirmed.
  7. Keep a copy of the final approval.

If this does not work
If your application is submitted late or evidence is missing, it may be held as conditional, deferred to a later panel or not approved. If the start date is close, raise the urgency clearly, but approval is not guaranteed.

Who to contact
Use the PGMDE Support Portal for OOP and acting up process queries. Contact your Training Programme Director for programme support and training suitability discussions.
