SuppoRTT: Pre-Absence form – when and how to complete it

Modified on Wed, 9 Sep at 3:36 PM

What this article is about
This article explains when to complete the Supported Return to Training (SuppoRTT) Pre-Absence form.

Who this is for
Doctors and dentists in training who are planning a period away from training and may need support returning.

What you need to know

  • SuppoRTT supports trainees before, during and after time away from training.
  • The Pre-Absence form helps identify planned absence and any support that may be needed before leaving and on return.
  • It may be relevant for OOP, parental leave, long-term sickness absence, career breaks or other planned periods away.
  • Completing the form early helps your programme plan your return safely and effectively.
  • The form does not replace the formal OOP, statutory leave, employer or rota processes.
  • You may still need to submit separate applications or notify your employer.

What to do

  1. Complete the Pre-Absence form as early as possible once you know you will be away from training.
  2. Include your expected absence dates and reason for absence.
  3. Discuss your plans with your educational supervisor or Training Programme Director.
  4. Identify any support you may need before leaving or on return.
  5. Submit the form through the required SuppoRTT route.
  6. Keep a copy of the form and any agreed plan.
  7. Update the relevant team if your absence dates change.

If this does not work
If you are unsure whether SuppoRTT applies, raise a query through the PGMDE Support Portal and ask which support route is appropriate.

Who to contact
Use the PGMDE Support Portal for SuppoRTT queries. Contact your Training Programme Director or educational supervisor for training support discussions. Contact your employer for employment, leave, contract, rota or pay matters.

What HET can and cannot help with
HET can help with

  • Directing you to the SuppoRTT process.
  • Recording or routing SuppoRTT information where appropriate.
  • Advising whether return planning may be needed.
  • Linking SuppoRTT with OOP or return to training processes where relevant.

HET cannot help with

  • Approving employment leave.
  • Replacing employer sickness, maternity, parental leave or HR processes.
  • Guaranteeing a specific rota or placement.
  • Providing clinical, occupational health or emergency support.
